Stanford University, Cardinal Recruiting (OCR) Policies

The Career Development Center (CDC) provides employers with a convenient on-campus opportunity to interview current Stanford students during the fall, winter and spring quarters for full time and intern/summer positions, called the Cardinal Recruiting Program. There is not a charge for employers to participate in the Cardinal Recruiting program.

In May, employers listed in our database receive an e-mail announcement
inviting them to reserve interview dates for the next academic year. This e-mail provides employers with instructions on how to request room reservations through our online database. Scheduling is administered on a first-come, first-served basis.

If you do not receive an invitation to participate in the Cardinal Recruiting program, please e-mail a request to the Cardinal Recruiting Coordinator. The email should include your organization's name and address, contact name, telephone, e-mail address, URL, and what types of students you are looking for (majors, degrees, etc.). If you have any questions, contact the Cardinal Recruiting Coordinator.

Employer Eligibility
Employers may only recruit on campus for existing job vacancies or those which will exist by the time a candidate is available for employment with your organization. Campus interviews must be directly scheduled and conducted by the organization's employees, rather than by third-party representatives. Employers who recruit at Stanford must adhere to Equal Employment Opportunity (EEO) guidelines, the National Association of Colleges and Employers Principles for Employment Professionals, and the Policies & Guidelines laid out by Stanford University.

In addition to the Policies & Guidelines laid out by Stanford University, you agree to abide by all policies and guidelines listed on this page when participating in Cardinal Recruiting.

PLEASE NOTE A VERY IMPORTANT CHANGE TO
THE 2009-2010 CARDINAL RECRUITING PROGRAM:

Recruiting reservations will be considered for Mondays through Thursdays for on-campus recruiting schedules. For your convenience, you can now reserve our interview rooms on Fridays for second round or non-Cardinal Recruiting interviews during the recruiting season. Scheduling is administered on a first-come, first-served basis, and our rooms fill quickly. Employers must reserve interview rooms and pay fees in advance. These fees do not apply for employers participating in our platinum or gold level Employer Partnership Program.

Interview Time Schedule
The length of the interview schedule is the total time that a student is available to the employer. Lunches are scheduled from 12 noon to 1 pm unless otherwise noted.

  • 30-minute interviews:
    Interviews begin at 8:45 am and the last interview ends at 4:15 pm. This provides 12 interviewing opportunities.
  • 45-minute interviews:
    Interviews begin at 9:00 am and the last interview ends at 4:00 pm. This provides eight interviewing opportunities.
  • 60-minute interviews: *
    Interview schedules begin at 9:00 am and end at 4:00 pm. This provides six interviewing opportunities.
  • 90-minute interviews: *
    Interview schedules begin at 9:00 am and end at 4:00 pm. This provides four interviewing opportunities.
    * If you want to have each candidate interview with two different recruiters, you can do so with the 60-minute and 90-minute interview schedules. Each candidate would meet with an Interviewer for half of the scheduled time. If an employer is interested in this option, please contact the Recruiting Coordinator to discuss the details of this type of schedule.

Interview Schedule Types

  • Preselect - Alternate - Open
    Resumes are collected during specified times with respect to the interview date. Please note that although you preselect a student, he or she may
    decide not to sign up on your schedule. If you are preselecting fewer students than the number allocated to you or all preselected students do not sign up, those additional interview spots will be filled by the online system on a first-come, first-served basis as Open Sign-Ups.

    All schedules switch to "Open" on the last day of sign-ups if there are empty time spots. You are not able to manually fill empty time spots. You are not welcome to remove students who sign up for an interview on the schedule during open sign-ups.

  • Open Sign-Up:
    Qualified students have the opportunity to sign up in available time slots online, on a first-come, first-served basis
    OR
    If a schedule does not fill after preselected and alternates students have signed up, other registered and qualified students will be given the opportunity to sign up for the open slots through the Open Sign-Up system.

Canceled and Late Interview Schedules
Employers who do not show up for interviews, who leave before finishing their interviews, or who cancel their interview schedules with little notice, create a great inconvenience to students and the CDC staff.

  • If your recruiter misses interviews, the company will be charged $50 per student that was not accommodated.
  • All cancellations must be emailed to the Recruiting Coordinator by 5:00 PM-PST, 90 days prior to the scheduled interview date.
  • Fees will be assessed for cancellations that take place less than 90 days prior to the event date. If students have already signed up on the schedule, the employer is required to send or e-mail a letter to each of the scheduled students to inform them of the cancellation. The letter should offer an apology for the inconvenience, an explanation for the cancellation, and information about what will happen next (i.e., whether their resumes will be reviewed, if a follow-up interview or phone screen will take place, when the students will be contacted). A copy of this letter MUST be provided to the Recruiting Coordinator.

Greeters / Recruiting Coordinators
Some employers prefer to bring an extra representative who is not one of their scheduled recruiters on the day of the interviews.
  • This must be indicated on your interview room request form
  • We do not allow greeters/coordinators to meet with students in the waiting lounge
  • A fee will be charged for exclusive use of our conference room during normal business hours (8:15 AM - 4:30 PM). This fee applies for all employers participating in Cardinal Recruiting, except for those who are CDC Platinum or Gold Partners.

Interview Rounds
When employers ask students to come back for a second, third or final round interview, they must allow reasonable time for students to adjust their schedules. We realize that employers have certain constraints in the amount of flexibility they have to accommodate student needs, but we ask that you support them in upholding their prior commitments to academics and other previously scheduled interviews.

  • The second interview should not be scheduled prior to the fifth day following the initial interview
  • At all times, it must be clearly communicated to the student that they should feel comfortable speaking up about any prior commitments they have. It should be explained to them they will not be immediately eliminated from the pool of second round candidates should they be unable to meet on the first requested date.
  • Alternative options should be provided to students who cannot meet on the first scheduling attempt
  • Second round interviews can be conducted at the CDC on Fridays during the Cardinal Recruiting program. Employers must reserve and pay for the room rental in advance. Employers will be responsible for contacting students to set up interview times. Please send an email to employers@mailman.stanford.edu if you wish to reserve rooms.

Modifying Interview Schedules
If a company is planning on making any manual changes, the Recruiting Coordinator must be notified in advance. When requesting schedule changes, it is the responsibility of the employer to contact the students.

Adding students to a schedule
Employers who wish to add students to the interview schedule must direct the students to sign up online through the Cardinal Recruiting system. Please contact the Recruiting Coordinator for assistance.

Removing students from a schedule
Employers who feel that a student on their schedule does not meet the required
qualifications must contact the Recruiting Coordinator prior to talking to the student. Students who obtain an interview during the Open Sign-Up period are not to be removed from schedules. Please contact the CDC with all scheduling issues/requests.

Information Sessions
Employers participating in the Cardinal Recruiting Program may wish to schedule group information sessions with students prior to their interview dates.

  • There are generally two types of information sessions:
    • Interest raising information sessions can be used by all companies who had difficultly filling their schedules, or by companies who are coming to campus for the first time. This event raises students' awareness and company interest. These presentations are held just before or during the resume submission period.
    • Interview preparing information sessions are for companies who generate high student interest. Company representatives answer students' questions prior to the interviews, with the goal that interviews will flow more smoothly and be more productive. Typically, these presentations are held a few days prior to on-campus interviews.
  • The Career Development Center does not have the facilities to host information sessions. For event facilities, please contact::

    • We recommend timing the information session in the evening. Employers have reported the most success scheduling sessions between 6:00PM and 9:00PM.
    • Once you receive formal confirmation from Tresidder, The Faculty Club, or the Bechtel Center, please send the date, time and room information to the Recruiting Coordinator. The CDC will publicize your presentation on-line along with your interview dates and times.
